Plan UK's Data Protection Statement

Just as we value the crucial role our supporters play in Plan's work, we value the trust they place in Plan by giving us their contact details and any other personal information that we need to carry out our work with children and their communities in the developing world.  It is therefore our wish, as well as a legal requirement, to explain how we will process this information.  All personal data is treated with appropriate levels of security, and this notice explains how we will - and will not - use any personal information you give us.

• First and foremost, we will not share your personal information with any third parties unrelated to Plan.
• We will use your personal information to correspond with you about any child you sponsor, their community and country, about any other ways you support Plan and to facilitate any visit you make to communities where we are working.  We may also contact you by post, telephone, fax, e-mail or text message, as appropriate, with feedback and information about Plan's activities and campaigns.
• We will keep a record of the nature of all correspondence and contact that we have with you to help administer the ways you support Plan.  If you provide us with any sensitive personal information we will check that you are happy for us to keep a record of it.
• We may monitor or record telephone calls for training purposes and in order to improve the service you receive from us.
• We may use personal information for research to enable us to review, develop and improve our activities and the services we offer supporters.
• Personal information will be made available to relevant Plan UK and Plan Ireland staff and volunteers, and to staff in our trading subsidiary.  If you are a sponsor, your name and supporter reference number, but not your address, will be sent to Plan staff in the country where the child you sponsor lives.  We may also occasionally need to share other information with these staff in order to answer questions or queries associated with your sponsorship or other ways in which you are supporting our work. It may sometimes be necessary to pass information to a contractor or other service provider, but this will be solely for the purposes of fulfilling Plan correspondence or supporter contact, research or processing your contributions.
• For legal reasons, we must maintain a record of all contributions you make to Plan.  We also need to hold personal information to administer Gift Aid declarations and Deeds of Covenant.  We will release personal data where we have a duty to do so.
• All information will be kept for as long as you are a supporter of Plan and for such reasonable time afterwards as may be necessary to meet our legal obligations or carry out our activities.
• For all of the above purposes, the Data Controller of your personal information is John Pinchard, the Director of Finance and Administration at Plan UK.

You are entitled to request a copy of the information Plan holds about you and to ask for any inaccuracies to be corrected.  A charge of £10 may be made for this service.  If you wish, you also have a right to stop direct marketing communications from Plan.  To request a copy of your data, or to discuss any issues relating to Plan's use of your personal information, please contact the Data Protection Officer.  To do this, sponsors in the UK should call 0300 777 9777, sponsors in Ireland should call 0818 30 40 30, or you can email DataProtection@plan-international.org.uk.  We will be very happy to answer any questions or respond to your requests.
